Accommodation

April is a very busy month in Istanbul. It is recommended that all participants make their accommodation bookings as early as possible.

TeamCon has made block reservations at different category hotels nearby the congress venue, at special rates. These rates can be obtained only if bookings are made by the Conference Secretariat (TeamCon).

Accommodation requests will be honoured only when the form and full payment are received.

All extra expenses such as meals, mini bar, telephone calls, dry cleaning etc. should be paid to the hotels directly before check-out.

Check in to the hotels begins at 14:00 hours and check out from the hotels ends at 12:00 hours.

TeamCon will operate a “first come – first served” basis with hotel requests. Any changes or cancellation should be communicated by fax or email to TeamCon.

• The above mentioned rates are per room per night accommodation rates based on bed & breakfast and are exclusive of 8% VAT.
• Any change in the VAT will be reflected to the fees given.

Deadline for Advance Accommodation Reservation Requests
February 27^th, 2009

Please note that requests after this date will still be processed but your accommodation can not be guaranteed due to the unavailability of the congress hotels at this date. To avoid any inconveniences we recommend you to make your reservation at an earlier stage.

How to Make Accommodation Reservation

Accommodation requests are processed only with the full payment of the stay. Reservations can be completed online or by filling out the Registration & Accommodation Reservation From and sending it to the Congress Secretariat. You will be required a valid credit card for Online Accommodation Reservation. For written applications either a valid credit card may be used or wire (bank) transfer can be performed. Please read carefully the cancellation policy and payment terms below.

Cancellation and Refund Policies

HOTEL reservations will be confirmed upon receipt of your reservation form along with your hotel payment (in full) to the Congress Secretariat.
All the cancellations and changes of hotel reservations must be sent to the Congress Secretariat in written form.
Refund policy for the hotel reservations is as follows:

• Within November 7th 2008 : The paid amount will be refunded with a deduction of 10% administrative charges.
• November 8th 2008 – January 2nd 2009 : The paid amount will be refunded with a penalty of 1 night accommodation fee.
• January 3rd – March 6th 2009 : The paid amount will be refunded with a penalty of 2 nights accommodation fee.
• Within/After March 7th 2009 : The amount of full stay will be forfeited and no refund will be available.

All refunds will be processed after the ECE 2009 Meeting. Please send your exact bank account details in your written cancellation application. All bank fees related to the refunds are to be paid by the participant.

Methods of Payment

The accommodation request forms will only be taken into consideration if accompanied with the respective payment. Payments are to be made in EUROS.
Payments can be made using one of the methods stated below.

• On-Line Registration: Upon providing your personal and accommodation details, you will be required a valid credit card which the total amount of your stay will be debited. 
• Wire (Bank) Transfer: The wire transfer should be exclusive of bank or any other charges. Please make sure to indicate participant’s name and all below details during transfer. A copy of the transaction statement should be faxed to the Congress Secretariat. All bank transfers should be made to
